The problem

Spreadsheets weren't built for stock and tools.

As soon as you issue consumables and lend tools across more than one location, manual tracking starts to cost you real money. Storeman replaces the guesswork with one live system of record.

Tools that never come back

You lend out a grinder or a driver and lose track of who has it. No due dates, no record — just kit that quietly disappears and gets bought twice.

Stock takes that eat the week

Clipboards, spreadsheets, and late nights. Manual counts are slow, error-prone, and out of date the moment you finish them — and nothing reconciles itself.

No costing, no audit trail

Consumables walk out the door with no value attached and no record of who took what. You can't trust the numbers or trace where they came from.

How it works

Live in a day, not a quarter.

No consultants, no hardware, no rip-and-replace. Most teams import their items and record their first purchases and issues on day one.

01

Set up your store

Add your suppliers, items, and locations — main storeroom, sections, and toolboxes. Import from a spreadsheet to build your catalogue, with costs and minimum stock levels, in minutes.

02

Capture every move

Record purchases and receipts, transfer stock between locations, issue consumables to employees, and lend out tools with a due date. Stock and weighted-average cost update in real time.

03

Stay in control

Watch live valuation, low-stock alerts, and overdue tools from one dashboard. Run stock takes, review the full audit trail, and export reports to Excel or PDF whenever you need them.

Features

Everything you need to run your store with confidence.

From the main storeroom to the last toolbox on site, Storeman keeps your stock accurate, your tools accounted for, and your decisions backed by real numbers.

Consumables you can trust

One live number for every item. Each purchase, transfer, and issue updates stock instantly, with weighted-average costing and a running valuation across all your locations.

Returnable tools, tracked

Lend tools to a section or toolbox with a due date, log partial or full returns, and see exactly what's overdue — all in the same system as your consumables.

Multi-level locations & transfers

Model your real structure: main storeroom, managers, employees, sections, and toolboxes. Transfer stock between them and see consolidated levels at a glance.

Stock takes & adjustments

Run a physical count and Storeman auto-generates the correcting adjustments. Log adjustments with reason codes and employee returns to keep every figure honest.

Full audit trail

Every purchase, transfer, issue, return, and adjustment is recorded — who did what, and when. Owner, Admin, Manager, and Viewer roles keep access in the right hands.

Reports & exports

Stock valuation, low-stock, issues, and overdue-tool reports — exported to Excel (.xlsx) or PDF in a click, priced and totalled in Rand.

Real-time visibility

See every item, everywhere, at once.

Storeman keeps a single, live source of truth for your stock — so the number on the screen is the number on the shelf, in every storeroom, section, and toolbox.

  • Consolidated stock and valuation across all your locations
  • Transfers between locations with full audit history
  • Multi-level structure: storeroom → managers → employees → toolboxes

Swap old stock for new — without losing the trail.

When you issue fresh consumables you can record the old stock coming back in the same step: returned to stock if it's still good, or scrapped and written off if it isn't.

  • Return-to-stock and scrap captured during the issue
  • Weighted-average costing stays accurate after every move
  • Every issue, return, and write-off lands in the audit trail

What teams use it for

Built for the day-to-day of running a storeroom.

From a single store to multi-location operations, Storeman helps teams trade spreadsheet guesswork for accurate, accountable control of stock and tools.

Know exactly what you hold, and what it cost

Track consumables across a main storeroom, managers, employees, sections and toolboxes. Every receipt, transfer and issue is weighted-average costed, so stock valuation stays live and accurate.

Get your tools back

Issue returnable tools with due dates, take partial or full returns, and see what is overdue at a glance — separate from consumables, but in the same system.

Count with confidence, and prove it

Run a stock take that auto-corrects variances, adjust stock with reason codes, and keep a complete audit trail of who did what and when — exportable to Excel or PDF.

Imports & exports

Works alongside the tools you already use.

Bring your existing data in to get started, then get it back out whenever you need it — every report exports to Excel (.xlsx) and PDF, and your stock data stays yours.

FAQ

Questions, answered.

Everything you need to know before you start your free trial.

Can Storeman track both consumables and returnable tools?
Yes — that’s the whole point. Consumables (things you issue and use up) and returnable tools (things you lend out and expect back) live in one system. Issue a tool to a section or toolbox with a due date, record partial or full returns, and see overdue items at a glance.
How does Storeman handle multiple companies and locations?
Storeman is multi-company SaaS: each company gets its own subdomain and its data is strictly isolated from every other tenant. Within a company you can model a main storeroom, managers, employees, sections, and toolboxes, and transfer stock between them.
How is stock value calculated?
Storeman uses weighted-average costing. Every purchase, transfer, issue, and return updates the average cost automatically, so your live stock valuation stays accurate without manual re-pricing.
Can I export reports?
Yes. Stock valuation, low-stock, issues, and overdue-tool reports can be exported to Excel (.xlsx) and PDF. Everything is priced and totalled in South African Rand (ZAR).
Who can see and do what?
Access is controlled by roles — Owner, Admin, Manager, and Viewer — and every action is recorded in a full audit trail showing who did what and when. You can invite teammates by email and reset passwords yourself.
Is there a free trial, and can I import my existing data?
Yes — 14 days free, no credit card required. You can import your items from a spreadsheet to build your catalogue with costs and minimum stock levels, then invite your team and start recording purchases and issues right away.
